About the Role

We are seeking a motivated, detail-oriented Administrative & Digital Media Assistant to join our team immediately through December 23, with the possibility of continuing beyond the holiday season. This is an in-person, part-time position supporting a professional music and entertainment business based in Cedar Rapids.


This is a varied, hands-on role for someone who enjoys taking ownership, contributing ideas, and being involved in many different aspects of a small professional business. The ideal candidate is organized, personable, creative, resourceful, business-minded, comfortable with technology, and able to work independently.


Responsibilities range from traditional administrative and customer relations work to social and digital media, creative projects, and hands-on involvement with live events. Initiative and new ideas are encouraged, particularly when they can improve efficiency, strengthen our digital presence, or enhance the customer and event experience.


The regular schedule will generally be Monday–Friday afternoons, averaging approximately 20 hours per week, with considerable scheduling flexibility outside of concert periods. Hours may increase substantially during busy concert periods, occasionally approaching full-time. The company’s mobile phone also allows some customer communication to be handled away from the office. Additional weekend availability is required during the holiday concert season, particularly from Thanksgiving through December 23.


No two days are exactly alike, making this an especially good fit for someone who enjoys variety and taking on a wide range of responsibilities.

Responsibilities

  • Handle income and outgoing phone calls and email correspondence, providing professional, friendly customer, media, and fan relations

  • Maintain databases, update records, and assist with filing and organization

  • Support day-to-day administrative and office operations

  • Use Microsoft Excel to track, update, and organize information, using new technologies when they can improve efficiency

  • Manage and strengthen the company’s social media presence, including contributing ideas and planning, creating, proofreading, and posting content

  • Assist with the creation and editing of short-form video and other digital content for social media, based on experience and ability

  • Serve as a lead staff member at live events, assisting with setup and teardown, coordinating event staff and ensuring smooth front-of-house operations

  • Represent the business professional and use sound judgement when communicating with customers, event attendees, and other contacts

Requirements

  • Strong organizational skills and attention to detail, with the ability to prioritize multiple tasks effectively

  • Excellent written and verbal communication skills

  • Proficiency with Microsoft Excel

  • Professional phone manner and strong interpersonal skills

  • Friendly, confident, and comfortable interacting with venue professionals, event attendees, and the public

  • Sound judgment, discretion, and the ability to communicate appropriately in a variety of situations

  • Ability to take initiative, solve problems, and make good decisions independently

  • Familiarity with major social media platforms and an understanding of effective social media content

  • Comfortable learning and working with various computer applications and digital platforms

  • Reliable, self-motivated, and able to work independently

  • Availability to work in person in Cedar Rapids for approximately 20 hours per week during regular business hours, Monday–Friday, with the ability to work additional hours during busy concert periods

  • Weekend availability during the holiday concert season, particularly Thanksgiving through December 23

Additional skills that would be a plus, but are not required:

  • Sales, marketing, or other business experience

  • Experience managing social media for a business, organization, or public figure

  • Video editing and short-form content creation

  • Music editing or audio production experience

  • Familiarity with creative software used for audio, video, graphics, or digital content

  • Previous hospitality, performing arts, event, or front-of-house experience
